Who we are

It covers this website, email to [email protected], phone and SMS about a job, and files you send us as part of a brief. It is a working policy for a small production company, not a claim that we run an ad network or a mailing list we do not have.
What we collect
If you use the contact form or write to us, we get the details you type: name, email, phone, the job, show type, and any date, venue, destination or notes you add. If you attach a brief, floor plan or image in your mail app, that file is part of the email you send.
If you call or text, we get the number and whatever you tell us about the show. If we quote or invoice, we also hold the business name, billing address and payment references needed to do that.
We do not scrape extra profile data from Facebook or Instagram just because you followed Room One on Facebook or @roomone.live. Those products have their own policies.
How the website form works
The form on /contact/ opens your own mail app addressed to [email protected]. Until you tap send, the draft is on your device. We only receive what actually arrives in that inbox. A hidden field is there to catch bots; humans should leave it blank.
The first visit to the site stores a flag in your browser (session storage, key r1-seen) so the load animation does not replay every click. That is not a login, and it is not used to identify you across sites. We do not currently run Google Analytics, Meta Pixel, or a marketing cookie banner, because we are not dropping those tags.
The About page embeds a Google Map. Google may set its own cookies in that iframe. Cloudflare hosts the site, so standard request logs (IP, browser, pages requested) may exist on that platform for security and uptime.
What we use it for
To reply, size the system, quote the job, run the show, invoice, and keep a record of what we agreed. We do not sell contact lists. We do not use brief details to train a public AI model.
Who we share it with
Crew and contractors on that job, only as far as they need to build the camera plan, graphics, stream or network. Accountants or lawyers if a payment or dispute requires it. Hosts and email providers that already carry the message (your mail app, our mail host, Cloudflare).
If a platform must receive a feed (Twitch, YouTube, a broadcaster), we send the show, not your private brief, unless you asked us to copy them in.
Some of those processors sit outside New Zealand. We still have to take reasonable steps to protect the information under the Privacy Act.
How long we keep it
Enquiry mail that does not become a job: we keep it long enough to follow up, then we do not need it. Jobs we ran: we keep the brief, quote and technical notes for as long as we may need them for a repeat show, a warranty on the work, or tax. Invoices follow ordinary New Zealand record-keeping.
Your rights
You can ask what we hold about you, ask us to correct it, and ask us to delete it where we no longer need it. Write to [email protected]. If you are not satisfied, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
Children
This site is for people booking a broadcast, not for children. Do not send us personal information about anyone under 16 unless you are their parent or guardian and it is needed for the show.
Changes
If the way we collect information changes (for example we add analytics), we will update this page and the date at the top. The live wording is always this URL.
